Take a note! Sending notes to your clients about listings

After selecting a group of listings to send to a client, many agents would like to include notes about each specific listing.  Selecting the listings in Matrix and clicking the "Email" button means those listings are no longer visible and adding the correct notes about each listing can be difficult.  There are easy options available though, read on to find out what is available:

 

Add notes directly to listings

 

This option requires you to have saved your client's name and email address in your Contacts list first.  After selecting a group of listings from a search (by clicking the checkbox to the left of each listing) click the "Refine" button at the bottom of the page.  First, click the "Retain Checked" button to remove any unselected listings, keeping only those you want to send.  Then, click the "View As..." drop down menu and select the client you are working with.  You'll see some new columns appear in your search results list, including the date the listing was last emailed to your client (if ever), as well as a "notes" icon ().  Click this icon to open the "notes" panel and add any comments you would like.  You can also click the MLS number of a listing to open the Agent Full display, then click the same notes icon () at the top right.  This will allow you to refer to the entire listing, including the photos, while creating your note.  Click the "Add Note' button to save your note then move on to the next listing(s) to add notes to those as well.  

 

Once you have added all of your notes, click the "Actions" menu at the bottom of the Results page and click "Email".  Now you can send a short message to your client (such as "Here are the listings I mentioned.  I've left comments on each listing for you, feel free to leave me any comments or questions you have") and they'll see everything you have put together for them.

 

Adding notes this way allows you to refer directly to each listing you want to comment on, but it also allows your clients to read those notes while they are looking at the listing as well.  Connecting a note to the listing it refers to is the simplest and most direct way to communicate about listings through the MLS.  Your clients are also able to add notes to listings through their OneHome account, allowing you to have a conversation about a listing on the listing itself.

 

Note 1: Notes added to listings are private, and can only be viewed by you and your selected client.  

 

Note 2: Once a note is added to a listing for a client, it can not be edited or deleted.

 

Use a second Matrix tab or window

 

If you would like to include your notes in the text of the email itself, try this option.  After selecting the listings you want to email use the "Refine" option of "Retain Checked" as described above.  Then, move to the top of your screen and right-click your current Matrix browser tab, then select "Duplicate" (or "Duplicate Tab", depending on your browser).  Now return to your original tab and click the "Email" button in the Actions menu.  From here, you can draft your email in the original tab while using the duplicated tab to reference the listings.  This allows you to use a fully functional Matrix page to review the listings while working on your email message.

 

Use "Print to PDF"

 

If you would like to include your notes in the text of the email itself, but would prefer a simpler listing view, try this option.  After selecting the listings to email click the "Print" button in the Actions menu.  Select the view of the listings you want to reference (such as "Agent Full" or "Client Brief"), then click the "Print to PDF" option at the bottom of the page.  This will open a new browser tab with a preview of that PDF that allows you to scroll through all of the listings.  The PDF view is not interactive, meaning that pictures and links will not be available.  

 

Note: if you would like to view the pictures, listing history, or other related reports when you are on the "Print Listings" page select the "Agent Full" then select the list of options you would like to see on the right.

 

Once the listings are open as a PDF in the new tab, switch back to the original Matrix tab and click the "Email" button in the Actions menu to begin drafting your message.
