Changing Brokerages: Transferring Your Canopy MLS Membership and Listings

Changing brokerages involves more than updating Matrix™. Depending on your situation, you may need to transfer your Canopy MLS membership, update your contact information, and transfer your On-Market listings*.

 

Use the guide below to determine which steps apply to you.

 

* On-Market listings refer to the listing statuses eligible for transfer as identified on the Canopy MLS Listing Transfer Form: Coming Soon-No Show, Active, Under Contract-Show, Under Contract-No Show, and Temporarily Off Market.


Before You Begin

If you are changing brokerages, you may need to complete one or both of the following:

Membership Transfer

Complete a Transfer Request Form to transfer your Canopy MLS membership to your new brokerage.

Listing Transfer

If you have On-Market listings that will move with you, complete a Listing Transfer Form. Listings do not automatically transfer when you change brokerages.


 

Step 1: Transfer Your Canopy MLS Membership

To transfer your Canopy MLS membership:

  1. Update your firm affiliation with the Real Estate Commission and with your primary Realtor® Association, if other than Canopy.
  2. Complete the Transfer Request Form.
  3. Attach a copy of the Broker Affiliation form submitted to your Real Estate Commission.
  4. Obtain the required broker signatures.
  5. Submit the completed form to [email protected].

Note: An agent may initiate the transfer; however, the transfer cannot be completed until the Real Estate Commission reflects the new firm affiliation and the required broker authorization has been received.

Step 2: Update Your Contact Information

If your email address or phone number has changed, update your information in RAMCO.

Matrix™ uses your membership information from RAMCO.

  1. Log into www.CanopyMLS.com, and in the Realtor® Tools section click RAMCO Dashboard.
  2. Alternatively, if you are already logged into Matrix™, click the Resources tab, then click RAMCO Dashboard.
  3. In the new window that appears, click the green Update Your Profile button.
  4. Update your email address, phone number, and other profile information.
  5. Click the green Save or Update button when you are done. The updated information should appear in Matrix™ in about 15 to 30 minutes.

Step 3: Verify Your Brokerage in Matrix™

After your membership transfer has been processed:

  1. Log out of Matrix™.
  2. Log back in.
  3. Verify that your new brokerage is displayed.

If your new brokerage is not displaying after your transfer has been processed, contact Member Services at [email protected].


Step 4: Transfer Your On-Market Listings, If Applicable

Changing brokerages does not automatically transfer your listings.

If your listings will be carried over with you to your new brokerage affiliation, complete the following steps:

  1. Complete any required termination paperwork with your former brokerage.
  2. Execute a new listing agreement with your new brokerage.
  3. Complete a Listing Transfer Form.
  4. Obtain signatures from both the releasing and receiving Brokers-in-Charge (Member Participants).
  5. Submit the completed Listing Transfer Form to [email protected].

Important
  • Only On-Market listings may be transferred.
  • Closed, Withdrawn, and Expired listings cannot be transferred.
  • The receiving brokerage must have a valid signed listing agreement for each listing being transferred.
  • Canopy MLS may request a copy of the listing agreement before processing the transfer.

Frequently Asked Questions

Do I need to complete both forms?

Not always.

Do my listings automatically transfer when I change companies?

No. Listings remain with the current brokerage until the required paperwork has been completed and Canopy MLS processes the Listing Transfer Form.

Can closed, withdrawn, or expired listings be transferred?

No. Only On-Market listings may be transferred.

Where do I update my email address or phone number?

Update your contact information in RAMCO.

Why doesn’t Matrix™ show my new brokerage?

If your membership transfer has already been processed and Matrix™ is still displaying your former brokerage, contact Member Services at [email protected].
